1. What Reflectory does and does not do
Reflectory conducts a structured AI-led interview that helps a UK-registered clinician produce a reflective account in their own words. It is an interview tool. It is not a content generator, not a clinical decision-support tool, and not a substitute for professional supervision.
- You are the author. Every reflective sentence in your output document originated from something you said during the interview. The AI asks; you answer.
- You are accountable. You retain full accountability under your professional regulator (HCPC, NMC, GMC, GDC, GOC) for any document you submit at appraisal, revalidation or audit.
- No PHI. You must not submit patient-identifiable information. Our pre-screener blocks the vast majority of identifiers, but you remain responsible for your own anonymisation.
2. Eligibility
You must be 18 or older and a UK-registered (or eligible-to-be- registered) clinician using Reflectory in connection with your CPD obligations. You must not use Reflectory on behalf of another individual without their consent. You must not attempt to bypass our PII screening, scrape our content, or interfere with our service.
3. Plans and payment
- Free first reflection. Your first reflective account is free, with no card required.
- Pay-as-you-go at £5.99 grants one credit (one interview). Credits do not expire and do not auto-renew.
- NMC revalidation pack at £24.99 grants five credits as a single one-off purchase, to use any time within three years. It does not auto-renew.
- HCPC annual at £29.99 per year gives unlimited interviews and full portfolio access for twelve months. Renews annually; cancel at any time via the Stripe customer portal, with access continuing until the end of the billing period.
- All prices are inclusive of UK VAT where applicable. We charge through Stripe and never see your card details.
4. Refunds
We refund unused credits within 14 days of purchase, no questions asked, for pay-as-you-go and revalidation packs. For the annual plan, cancel before renewal to avoid the next charge; we do not refund a plan year already part-used.
5. AI use, accuracy and authorship
Reflectory uses third-party AI models (Anthropic Claude Sonnet 4.6 and Haiku 4.5 by default). The AI may sometimes ask a question that misses the mark, score a dimension imperfectly, or fail to detect an attempted PHI submission. You are the final check. Read what we produce before you submit it to your regulator. Edit it. Replace any phrasing that does not sound like you. The output is yours.
The mandatory AI-assistance disclosure footer in every .docx cannot be removed. This is a deliberate design choice to protect you from a probity allegation: with the footer, your engagement with the tool is transparent.
6. Acceptable use
You agree not to:
- submit patient-identifiable information knowing the system would otherwise have rejected it;
- submit content that is unlawful, defamatory, or knowingly false;
- use Reflectory for any purpose other than your own professional reflective practice;
- attempt to reverse-engineer, scrape, or otherwise exfiltrate the service;
- share your account with another individual.
Breach may result in suspension, deletion of your account, and forfeiture of any unused credits.
7. Liability
Reflectory is provided on an "as is" basis. We are not liable for any decision made by your professional regulator regarding a reflective account submitted through this service. Our maximum liability to you is capped at the total amount you have paid us in the preceding twelve months. We do not exclude liability where the law does not permit us to.
8. Termination
You can close your account at any time by emailing hello@reflectory.co.uk or via the Stripe customer portal. After cancellation, you retain read-only access to your portfolio for 12 months. We may terminate accounts in breach of these terms, after notice where possible.
9. Governing law
These terms are governed by the law of England and Wales. Disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
